This privacy notice provides you with information on the processing of your personal data pursuant to Article 13 of the European General Data Protection Regulation (GDPR).
Union Investment Institutional GmbH, Weissfrauenstrasse 7, 60311 Frankfurt, Germany, is the responsible controller within the meaning of Article 4 (7) GDPR concerning all processing of personal data provided in connection with registrations for and the hosting and recording of the Sustainability Conference on 17 June 2021.
The personal data that is processed includes the first and last name and email address of the persons attending the event. This data is processed in order to facilitate registration for the event, to facilitate the hosting and recording of the event and for the purpose of documenting compliance with statutory transparency requirements (e.g. concerning inducements). The event will be recorded by the controller. Only the livestreamed video and audio will be recorded. During the event, a function will be provided that allows participants to chat publicly or privately with other participants. These chats are not included in the recording but the first and last names of the participant remain visible while they are participating in the chat.
Participants may also be able to send questions to the speakers using the chat function. In some instances it may not be possible to answer these questions fully during the event. The question and the name of the person asking the question will then be saved until it has been fully answered afterwards.
Article 6 (1) f GDPR constitutes the legal basis for the processing of data in connection with the registration for the event.
Your personal data will be erased when it is no longer required for the specified processing purposes and when any applicable statutory retention periods have expired. The maximum applicable statutory retention period in the above scenario is 5 years.
In order to achieve the purposes specified above, Union Investment collaborates with the company that creates the unique personal passwords and manages the login for the event. This company will thus be granted access to your personal data (first and last name and email address). Article 28 GDPR constitutes the legal basis for this sharing of personal data.
A specialised technical service provider assists with the technical processing of personal data. This service provider has been carefully selected and is obliged to guarantee a high level of data protection under statutory and contractual requirements. Article 28 GDPR constitutes the legal basis for the collaboration with these service providers.
For purposes other than those specified here, your personal data will be shared with third parties only if this is required or permitted by law or if you have given your consent.
Pursuant to Article 15 GDPR, you have the right to demand access to the personal data about you that is being stored by the controller. If you find any of the personal data stored by the controller to be inaccurate or incomplete, you have the right under Article 16 GDPR to demand that such data be rectified or completed without delay. Under the circumstances set out in Articles 17 (1) and 18 (1) GDPR, you have the right to demand the erasure of your personal data or a restriction of the processing of this data.
If your personal data is being processed based on your consent (Article 6 (1) a GDPR) or based on a contract (Article 6 (1) b GDPR), you have the right under Article 20 GDPR to receive a copy of your personal data on record in a structured, commonly used and machine-readable format and to demand that this data be transmitted to a third party. If you have consented to the processing of your data (Article 6 (1) a GDPR), you are free to withdraw your consent at any time. If your data has been processed based on a legitimate interest (Article 6 (1) f GDPR), you have the right to object to this processing at any time under Article 21 GDPR.
You also have the right to lodge a complaint with the Commissioner for Data Protection for the federal state of Hessen.
Statistical login data is collected only in connection with events with a personalised login. Users can be identified by means of their email address. Successful logins can be recorded with the time and date of login and a list is compiled recording the first, second, ..., last login of every user. IP address checks will be used to identify parallel logins by one user (e.g. via multiple devices) and exclude these from the statistics. We collect this data in order to identify which events are particularly relevant for customers.
The number of users who click the ‘play’ button of the video stream is determined anonymously. It is determined by name which users clicked the ‘play’ button. The average duration for which users played the video stream is determined anonymously.
